Our after school program is broken up into 3 cycles throughout the school year. Fall clubs are from October – December, Winter from January – March & Spring from March – May. Applications usually go out two weeks prior to the first day of that cycle.
Classes run from 2:50 – 4:05 pm (with the exception of a few that end at 4:20 pm) and are once a week for usually a total of 8-9 weeks.
That being said, our after school program is not for working families as we do not provide any classes later than 4:20 pm.
Applications usually go out two weeks prior to the beginning of the cycle. Parents have one week to hand in their application and they should list several choices as there is limited space and no spots are guaranteed. It is NOT first come, first served. If the demand is higher than we can admit into a class, then the class is done by a lottery.
If a class is done by lottery, this means that the students enrolled are chosen at random. We try our best to make it evenly boys and girls and we also make sure to evenly distribute their grades.
For example, a class of 12 should ideally have 6 boys, 6 girls, and 6 1st graders, 6 2nd graders.
If your child is not chosen for the lottery – you will receive an email from the After School Coordinator with any other available options. You are then offered priority for the following cycle of Kid’s Clubs and are practically guaranteed a spot next time around.
You are required to pay for your Kid’s Club as soon as you hear about enrollment.
You can provide a check when you hand in your application or you may choose to pay via credit card, in which case you will be sent a LINK to payment via email.
If payment is not made within the first week of clubs, your child will no longer be permitted to attend after school.
Process for students when enrolled in after school
All teachers are informed of what students should be attending after school each day. They send their students to the lunchroom at 2:50 pm where they will find a table for their particular club. They then have 10-15 minutes of snack time while waiting for the rest of their classmates to show up. By 3:05 pm they head to their space and can begin their club.
Pick Up Policy
You must pick up your child in the lobby of the school. Doors will not open until 4:05 pm and we ask parents/caregivers/guardians to wait in the vestibule on cold/rainy days, or simply outside on nice days.
You should send an email to Courtney, the After School Coordinator, if you should have anyone picking up your child that is not you. You must authorize pick up by sending an email with their contact information – you can also provide this information on your initial application. If it is listed there, there is NO need to email.
3 late pick ups will result in your child’s removal from their after school class. Be sure to pick up at 4:05 pm!
If you need to pick up your child early from after school, that should also be sent in an email to Courtney so that she can have your child ready and can inform the security officers of when you will be arriving.
Frequently Asked Questions
Who do I contact about anything after school related?
Courtney Gilbert, our after school coordinator.
She can best be contacted via email: firstname.lastname@example.org
*She works outside at recess from 11-3 and is unavailable during the school day*
Her office is located across the hall from the Main Office, before the Nurse’s Office in Room 123. Her office hours are from 3:30 – 4:30 pm.
How do I sign up for Kid’s Club?
Applications are sent home in your child’s homework folder once they are available. You can find out about availability via the Tuesday Bulletin or the school’s website. If for some reason you do not receive one, they will also be available to download and print on the school’s website as well as hard copies in the PTA office and Main Office. REMEMBER: Applications are NOT first come, first served. You have one week to hand in your forms!
How will I know if my child has been enrolled in an after school class?
You will receive a confirmation email the week before clubs begin. It will include the roster of all students who should be attending. If you have two children in the same club, you will receive ONE email…just check the roster to see that both names are listed.
If you do not receive a confirmation email, you will receive a rejection email due to lack of space in a lottery class. If you are still unsure, the rosters will be posted on the bulletin board outside of the PTA office for you to double check names and you may also ask your child’s teacher, as they get a roster of after school students as well.
When should I pay for my after school class?
If you are providing a check: You may attach your check to your application when handed in. If you do not make it into a club, your check will be destroyed.
If you are paying via credit card: You MUST wait to receive a confirmation email with a payment link from Courtney.
Once you’ve been notified of your child’s enrollment, you have one week to make your payment. If payment has not been made after the first week of the club, your child will no longer be allowed to attend after school.
If you have any further questions, please feel free to email Courtney at email@example.com
